Proposal Coordinator I - A/E/C Industry
Overview
You will own the full proposal lifecycle at Halff Associates, a full-service infrastructure consulting firm with 30+ offices. You will partner with technical staff to craft compliant responses, manage multiple submissions simultaneously, and support interview coaching. This role sits at the intersection of marketing, communications, and engineering, offering visibility into diverse service areas. What You'll Do8
- 1Lead the development of high-quality proposals from start to finish, including InDesign layouts and PowerPoint presentations.
- 2Partner with technical staff to prepare compliant responses, ensuring alignment with RFP requirements and deadlines.
- 3Prepare proposals for multiple service areas, coordinating inputs from engineers, planners, and designers.
- 4Assist with interview preparation and coaching, including developing presentation materials and talking points.
- 5Support long-term pursuit strategy for specific clients, identifying opportunities and tracking pipeline.
- 6Set schedules for proposal and presentation efforts, assign tasks, and keep all activities on track.
- 7Edit, proofread, and format documents to maintain a polished, professional standard in Word and Excel.
- 8Manage multiple proposals simultaneously, prioritizing tasks and maintaining quality under tight deadlines.
Requirements8
- 1Bachelor's Degree in Marketing, Communications, Journalism, Business, English, or similar field.
- 21+ year of related experience in the A/E/C industry.
- 3Strong InDesign and graphic design skills, preferred.
- 4Proficiency with PowerPoint, Word, Excel, and Photoshop.
- 5Excellent writing, editing, and proofreading skills.
- 6Proven ability to collaborate with diverse personalities and minimal oversight.
- 7Detail-oriented with a sense of urgency and the ability to work under pressure.
- 8Ability to manage multiple proposals while maintaining quality of deliverables.
