Proposal Coordinator, AEC & RFP Writing
Overview
You will own the full lifecycle of RFP and RFQ responses for a high-growth AEC firm, coordinating submissions that win millions in new business. You'll partner with studio leads and marketing managers to craft pursuit strategies, manage deadlines, and produce polished deliverables using Adobe Creative Suite, especially InDesign. This role sits at the intersection of writing, design, and project management, where your work directly impacts the firm's revenue. What You'll Do9
- 1Plan, coordinate, design, and edit RFP and RFQ responses from kickoff to delivery, meeting tight deadlines.
- 2Design and produce presentations for client interviews and speaking engagements using InDesign and PowerPoint.
- 3Develop pursuit strategies with marketing managers, aligning win themes with client needs.
- 4Update and maintain resumes and project information sheets for proposal submissions.
- 5Create award submissions that highlight project success and technical innovation.
- 6Support graphic design managers by updating brochures, event signage, and trade show collateral.
- 7Coordinate with studio leads to gather technical content and ensure consistency across documents.
- 8Manage multiple proposal deadlines simultaneously, prioritizing tasks for on-time delivery.
- 9Edit and proofread all materials for clarity, accuracy, and brand compliance.
Requirements9
- 12+ years experience in marketing, communications, or business development, ideally within the AEC industry.
- 2Proficiency in Adobe Creative Suite, with extensive experience creating long-form documents in InDesign.
- 3Excellent written and verbal communication skills, with a portfolio of error-free deliverables.
- 4Strong time management and planning abilities, handling high-volume, deadline-driven workloads.
- 5Ability to think proactively and prioritize multiple tasks in a fast-changing environment.
- 6High attention to detail, ensuring quality and accuracy in all outputs.
- 7Bachelor's degree in marketing, graphic design, journalism, communications, or a related field is preferred.
