Maintenance Coordinator, Property Management
Overview
You own the maintenance workflow for a 1,170-unit cooperative in New York, coordinating resident requests, vendors, and renovations. You serve as the bridge between residents, maintenance staff, and management, ensuring every work order moves from report to resolution with clear communication. You schedule preventive maintenance, track inspections, and manage contractor access, keeping the property safe and operational. This role stays hands-on with daily operations while building systems for repeatable processes. You work onsite 8:30 AM to 5:00 PM, reporting to the property management office in Fort Lee, NJ, but based in New York.
What You'll Do9
- 1Prioritize and dispatch maintenance requests, assigning work orders to the maintenance team and following up until completion.
- 2Communicate with residents about scheduling, access, and repair timelines, turning a request into a scheduled visit within 24 hours.
- 3Coordinate preventive maintenance on building systems, scheduling routine servicing and inspections for HVAC, elevators, and boilers.
- 4Manage vendor contracts, scheduling contractors for repairs and renovations, and track their progress through submitted reports.
- 5Organize maintenance documentation, including proposals, estimates, and service reports, keeping files ready for audits.
- 6Conduct property inspections, reporting safety or operational issues to management and logging findings in the system.
- 7Coordinate apartment renovations, booking access, deliveries, and inspections while notifying residents of timelines and shutdowns.
- 8Track open work orders and projects to completion, updating records weekly and flagging delays to management.
- 9Support urgent maintenance situations by mobilizing staff and vendors, then documenting the resolution.
Requirements8
- 12+ years coordinating maintenance, property management, or facilities operations in a residential setting.
- 2Working knowledge of preventive maintenance scheduling and building systems like HVAC, plumbing, and electrical.
- 3Strong organizational skills, proven by managing multiple work orders and vendor deadlines simultaneously.
- 4Clear written and verbal communication, able to interact professionally with residents, contractors, and board members.
- 5Basic computer proficiency, including use of property management software like Yardi or Rent Manager and Microsoft Office.
- 6Ability to read and organize vendor proposals, service reports, and inspection checklists.
- 7Flexibility to work 8:30 AM to 5:00 PM onsite, with occasional overtime for emergency maintenance.
- 8High school diploma or equivalent; a certificate in Facilities Management is a plus.
