Overview

You will own the full interview lifecycle for Panelmatic, coordinating schedules for 8+ hiring managers and 50+ candidates per month. You will run the candidate experience from first phone screen to offer, keeping every interaction professional and candidate-focused. You will work directly with recruiters, hiring managers, and candidates, using Workable ATS to track each stage. This role sits on a tight-knit Talent Acquisition team of 3, supporting a 65-year-old manufacturer with a 5-year average employee tenure. You will build your reputation as the scheduling expert in a company that values long-term relationships over quick fixes.

What You'll Do9

  • 1Build and coordinate interview schedules, managing calendars for candidates, recruiters, and hiring managers to eliminate conflicts
  • 2Communicate with candidates at every step: confirmations, reschedules, and status updates, keeping them warm and informed
  • 3Maintain 100% accuracy in Workable applicant tracking, logging every candidate interaction and update
  • 4Post job openings across career sites, job boards, and internal platforms within 24 hours of request
  • 5Screen resumes and perform initial phone screens, shortlisting candidates based on role fit
  • 6Coordinate pre-employment steps: background checks, references, and drug screens, tracking each to completion
  • 7Hand off new hires to HR and hiring teams, ensuring a seamless onboarding start
  • 8Track recruiting metrics: time-to-fill, source effectiveness, and interview-to-offer ratios, reporting weekly
  • 9Run job fairs and campus recruiting events, representing Panelmatic to potential candidates

Requirements9

  • 13+ years in recruiting, HR, or administrative coordination, with hands-on scheduling in a fast-moving environment
  • 2Hands-on experience with applicant tracking systems like Workable, including candidate profile updates and reporting
  • 3Proven ability to juggle 5+ interviews a day across time zones, using calendar tools like Outlook or Google Calendar
  • 4Strong written and verbal communication, able to draft clear, friendly candidate emails and phone scripts
  • 5High attention to detail, with zero tolerance for errors in interview times or candidate records
  • 6Professional and discreet handling of confidential candidate data like salaries and health records
  • 7Ability to work in a fast-paced environment, shifting priorities as hiring needs change
  • 8Comfortable interacting with candidates, executives, and cross-functional hiring teams
  • 9High school diploma or equivalent required; associate's or bachelor's a plus
