Office Support Associate, Administrative & Facilities Coordination
Overview
Own daily office operations and champion a welcoming, organized environment at scale. Serve as the primary on site point of contact for employees, vendors, and visitors. Collaborate with facilities and administrative teams to keep operations smooth and efficient. This role blends front desk hospitality, administrative support, and facilities coordination in a collaborative setting.
What You'll Do10
- 1Build a positive workplace experience by greeting visitors, assisting employees, and maintaining clean, stocked spaces.
- 2Design and uphold reception areas, conference rooms, and common spaces to be ready for use.
- 3Handle routine phone routing and office supply management to ensure uninterrupted operations.
- 4Support office setups, moves, and special projects to optimize space utilization and workflow.
- 5Coordinate service requests with building management and external vendors and track progress to completion.
- 6Provide mail distribution, shipping, scanning, scheduling, and travel coordination support.
- 7Assist with expense reporting and data entry within company systems.
- 8Communicate workplace updates and announcements to staff and stakeholders.
- 9Contribute ideas for process improvements and operational efficiencies to enhance overall effectiveness.
- 10Support safety initiatives and emergency readiness programs to maintain a compliant environment.
Requirements5
- 1High school diploma or equivalent
- 2At least 1 year of experience in office support, administration, customer service, hospitality, workplace services, or related field
- 3Strong interpersonal, communication, and organizational skills
- 4Proficiency with Microsoft Office 365 including Outlook, Teams, Word, Excel, and PowerPoint
- 5Ability to work independently, follow established procedures, and manage multiple priorities
