You will oversee day-to-day administrative operations, coordinate facilities and services, and provide executive-level support to the Managing Director. This position blends office management with cross departmental collaboration in a political and public affairs context. You will work in St Paul with occasional support for Washington DC, and contribute to a professional, compliant, and client-focused office culture.

What You'll Do10

  • 1Own the day-to-day administrative operations of the office to ensure efficient processes and a professional work environment
  • 2Coordinate facilities, equipment, supplies, technology, hospitality, workspace maintenance, and vendor relationships across locations
  • 3Serve as primary liaison with administrative departments to align operational needs and support
  • 4Support leadership by managing calendars, travel, correspondence, reports, presentations, agendas, and other executive communications
  • 5Prepare, edit, and finalize documents ensuring accuracy and consistency with organizational standards
  • 6Maintain office records, contact lists, subscriptions, and other administrative resources
  • 7Ensure compliance with organizational policies and federal, state, and local requirements
  • 8Plan and coordinate client meetings, events, and office-wide activities including retreats and celebrations
  • 9Monitor timekeeping and billing deadlines and assist with regulatory filings as needed
  • 10Provide exceptional client service to visitors, legislators, and other stakeholders

Requirements10

  • 1Bachelor's degree in Business Administration, Public Administration, or related field
  • 2Minimum of 4 years of progressively responsible experience in office administration or executive support
  • 3Proficiency in Microsoft Word, Excel, and Outlook; track changes and formatting skills required
  • 4Preferred familiarity with iTimeKeep/3E and Microsoft PowerPoint
  • 5Strong organizational, written and verbal communication, attention to detail, and client service skills
  • 6Experience in a political, legislative, government relations, or public affairs setting preferred
  • 7Ability to multi-task across multiple locations and coordinate with different departments
  • 8Flexibility to work additional hours for events or legislative activities
  • 9On-site in St. Paul with occasional DC support
