What You'll Do10

  • 1Schedule external meetings and appointments for team members using Microsoft Outlook and Word.
  • 2Coordinate internal meetings and calendars for a team, ensuring technology and room setup run smoothly.
  • 3Prepare meeting rooms and verify Microsoft Teams and other tech function properly.
  • 4Assist with document preparation, organization, and signing processes, including notarization when applicable.
  • 5Support mailing, scanning, copying, and electronic file management in SharePoint.
  • 6Track and submit continuing education or training documentation as required.
  • 7Provide backup support for other administrative team members, including reception coverage.
  • 8Assist with internal events, meetings, and catering coordination.
  • 9Proofread and process meeting notes, summaries, and correspondence using Microsoft Word.
  • 10Draft and assist with delivery of professional written communications, and update tasks in internal databases.

Requirements9

  • 13+ years of administrative support experience, with a focus on calendar and document management.
  • 2Strong proficiency in Microsoft Outlook and Microsoft Word required.
  • 3Excellent time management skills with the ability to handle multiple priorities accurately and meet deadlines.
  • 4Outstanding written and verbal communication skills.
  • 5Ability to exercise sound judgment and work independently with minimal supervision.
  • 6Proven organizational skills and meticulous attention to detail.
  • 7Comfortable communicating professionally via phone and email to coordinate scheduling and logistics.
  • 8Flexibility in work schedule during high-volume periods or critical deadlines.
  • 9Successful completion of background and credit check.
