You will coordinate with Google Workspace and Microsoft Outlook across multiple time zones, and your work directly shapes the efficiency of the leadership team. What You'll Do9

  • 1Own the executive calendar, juggling meetings across time zones and shifting priorities to keep commitments on track.
  • 2Book domestic and international travel, including SAP Concur itineraries, flights, hotels, and ground transport with backup plans.
  • 3Prepare meeting materials: build agendas, capture notes, and track action items to closure within 48 hours.
  • 4Draft and edit executive documents in Microsoft Office, ensuring accuracy and polish for board presentations.
  • 5Screen incoming communications, triage urgent requests, and route follow-ups to the right owners.
  • 6Coordinate logistics for executive offsites and board sessions, managing vendors and room setups.
  • 7Track expense reports and approvals in SAP Concur, flagging discrepancies for compliance.
  • 8Maintain digital and physical records, organizing approvals and deadlines for audit readiness.
  • 9Support ad-hoc projects like board slide decks and exec team announcements, delivering on tight deadlines.

Requirements8

  • 15+ years as an Executive Assistant supporting C-suite or senior leaders.
  • 2Proven track record managing complex calendars in Outlook and Google Calendar across time zones.
  • 3Experience coordinating international travel, including visas and itinerary changes for APAC and EMEA trips.
  • 4Strong document creation skills in Word, Excel, and PowerPoint, with an eye for formatting.
  • 5Familiarity with SAP Concur or similar expense tools for reporting and approvals.
  • 6Excellent written and verbal communication, handling confidential matters discreetly.
  • 7Ability to prioritize competing requests and meet deadlines without supervision.
  • 8Preference for experience in global companies with distributed teams.
