Overview
Own the daily operations of the Executive Office at Baltimore Aircoil Company, supporting the Executive Administrative Assistant to the CEO. You will manage calendars, coordinate travel, and prepare board-level documents in a high-expectation environment. This contract role places you at the center of internal and external coordination, from all-hands meetings to international travel logistics. What You'll Do8
- 1Own calendar management for the CEO's office, scheduling across time zones and prioritizing conflicts.
- 2Coordinate meeting logistics from agenda to catering, and track action items to completion.
- 3Build polished presentations and reports in PowerPoint, Word, and Excel for executive review.
- 4Support All Employee Meetings with materials, live logistics, and follow-up documentation.
- 5Handle domestic and international travel bookings, including visa documentation and coordination with external providers.
- 6Prepare and submit expense reports, ensuring accuracy and policy compliance.
- 7Maintain digital and physical filing systems for confidential executive materials.
- 8Coordinate events and ad hoc projects, managing vendor relationships and internal stakeholders.
Requirements8
- 12-5+ years in administrative, coordinator, or executive support roles.
- 2Proven ability to manage multiple priorities in a high-volume environment.
- 3Excellent written and verbal communication skills, with strict confidentiality.
- 4Strong attention to detail and follow-through on action items.
- 5Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Teams).
