Executive Administrative Assistant / Office Manager
Overview
You will manage high-level confidential projects for MCRT Executives while overseeing daily office operations at our Dallas headquarters. Supporting a senior leadership team of 4+ executives, you coordinate calendars, travel, and board materials while processing invoices and vendor contracts. You own the front desk experience and office security protocols, ensuring seamless workflow across Investment and Development teams. This role blends executive support with facilities management, offering direct exposure to due diligence and acquisition processes.
What You'll Do9
- 1Own the Executive office workflow, prioritizing requests and completing confidential projects on deadline.
- 2Manage complex calendars for 5+ senior leaders, scheduling interviews, board meetings, and investor calls.
- 3Coordinate domestic and international travel, including flight bookings, hotel accommodations, and ground transport.
- 4Prepare board packages and meeting materials, ensuring accuracy and timeliness for quarterly Investment Committee reviews.
- 5Process invoices and expense reports, approving up to $10K monthly spend and reconciling corporate credit cards.
- 6Supervise 2 administrative assistants, handling hiring, training, and performance reviews.
- 7Negotiate vendor contracts for office supplies, catering, and facilities maintenance, saving 15% annually.
- 8Maintain office security by managing badge access and visitor logs, complying with NAA and IREM standards.
- 9Track executive memberships and licenses, renewing credentials for CCIM and CFA designations.
Requirements8
- 15+ years of office administration experience supporting C-suite or senior executives.
- 2Bachelor's degree in Business or Management, or equivalent work experience.
- 3Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- 4Strong written and verbal communication, including drafting board-level correspondence.
- 5Demonstrated ability to handle confidential information with discretion and judgment.
- 6Experience with invoicing and expense reporting, including budget tracking.
- 7Ability to manage multiple priorities and meet deadlines in a dynamic work environment.
- 8Valid driver's license and ability to travel occasionally for property visits and executive meetings.
