Executive Assistant, Aviation & Civil Service
Overview
The Executive Assistant supports the Assistant City Manager and department directors, owning executive scheduling, research, and report writing for the City of Dallas. This role coordinates 3+ years of complex administrative projects, budget tracking, and travel logistics. You will work onsite in Dallas, Texas, within a civil service team that values service, innovation, and community impact. What You'll Do8
- 1Own executive calendar and meeting coordination for Assistant City Manager and department directors, ensuring deadlines and time logistics are met.
- 2Lead hiring and personnel support: initiate requisitions, prepare forms, participate in interviews, and coordinate training sessions.
- 3Serve as a communication hub: answer phones, route messages, and interpret City policies for staff and public inquiries.
- 4Conduct research on public policy issues, draft reports and correspondence, and secure materials for executive presentations.
- 5Coordinate agenda items for civic meetings: track deadlines, upload documents, and assemble briefing binders.
- 6Manage departmental budget review: monitor expenditures, reconcile travel expenses, and ensure compliance with City accounting procedures.
- 7Arrange travel logistics for executives: book flights, hotels, and ground transportation using City travel systems.
- 8Drive special administrative projects that improve division efficiency and support executive initiatives.
Requirements8
- 13+ years of executive-level administrative support experience involving research, project management, or budget analysis.
- 2Bachelor's degree in Business Administration, Public Administration, or Social Science; equivalencies accepted: high school diploma plus 7+ years experience, associate degree plus 5+ years, or bachelor's in any field plus 5+ years.
- 3Excellent verbal and written communication: compose clear, accurate reports and correspondence.
- 4Proficiency in Microsoft Office (Word, Excel, PowerPoint) and office machines like copiers and fax machines.
- 5Strong organizational skills to coordinate meetings, travel, and detailed schedules across multiple executives.
- 6Demonstrated interpersonal ability to handle difficult situations with tact and diplomacy in a civil service environment.
- 7Analytical mindset to evaluate data and develop sound conclusions for executive decision-making.
- 8Knowledge of City of Dallas payroll, accounting, or purchasing procedures is preferred.
