Overview
You will support the CEO of a small, successful firm in North Jersey, managing calendars, conferences, and speaker recruitment. You will own projects from start to finish with direct executive exposure. You will work onsite near Montclair State University, with a focus on precision and clear communication. You will bring a four-year degree and 3+ years of administrative experience.
What You'll Do8
- 1Manage the CEO's calendar, prioritizing meetings and resolving conflicts across time zones.
- 2Coordinate conference logistics, from venue selection to on-site execution.
- 3Recruit and confirm speakers, handling contracts and travel arrangements.
- 4Draft and review contracts, ensuring accuracy and compliance.
- 5Field phone calls and emails, routing inquiries and drafting responses.
- 6Prepare meeting materials, agendas, and follow-up action items.
- 7Maintain digital and physical filing systems, ensuring data integrity.
- 8Support special projects as directed by the CEO.
Requirements8
- 13+ years of executive assistant or administrative support experience.
- 2Bachelor's degree from a four-year institution.
- 3Strong Microsoft Office skills, including Outlook, Word, and Excel.
- 4Excellent verbal and written communication skills.
- 5High attention to detail and accuracy in all deliverables.
- 6Ability to multitask and prioritize in a fast-paced environment.
- 7Professional phone etiquette and interpersonal skills.
- 8Based in the North Jersey area near Montclair State University.
