Executive Assistant to President, C-Level Support
Overview
You will own executive support for the President of CPI and the VP of Human Resources, managing calendars, travel, and communications for a global payments technology leader with 1,900 associates and 6 manufacturing sites. You will partner with senior leadership and executive assistants to drive priorities, prepare board-level materials, and coordinate events. This role offers direct exposure to C-suite decision-making, requiring discretion and proactive problem-solving. You will use Microsoft products daily, with PowerPoint and Excel as your core tools for reporting and presentations. Working onsite in Malvern or Waltham, you will be the trusted liaison who keeps leadership moving.
What You'll Do10
- 1Manage complex calendars for the President and VP, prioritizing meetings and resolving conflicts across time zones.
- 2Coordinate domestic and international travel, including visas, itineraries, and expense reports, using Concur and Outlook.
- 3Prepare and proofread executive materials, including presentations and documents for the Senior Leadership Team, using PowerPoint and Excel.
- 4Maintain SharePoint and Teams sites to distribute accurate, timely information for leadership forums.
- 5Draft and dispatch leadership messages for all-hands meetings, collaborating with the Senior Leadership Team.
- 6Plan logistics for executive meetings, off-sites, and onboarding, handling venues, catering, and technology setup.
- 7Act as a trusted liaison for global HR stakeholders, facilitating communication on initiatives and priorities.
- 8Anticipate needs and resolve administrative issues proactively, ensuring leadership operates efficiently.
- 9Build strong working relationships with internal and external partners to enable cross-functional collaboration.
- 10Provide backup support to other executive assistants and contribute to division-wide projects.
Requirements10
- 15+ years supporting C-level executives in a fast-paced corporate environment.
- 2Bachelor's Degree and 5-7 years of relevant professional experience.
- 3Expert-level skills in Microsoft products: PowerPoint, Excel, Word, Outlook, and Teams.
- 4Proven discretion handling confidential information with sensitivity.
- 5Demonstrated ability to work independently, make decisions, and manage ambiguity.
- 6Exceptional attention to detail and organizational skills.
- 7Prior experience with Diligent and Concur is a plus.
- 8Strong written and verbal communication skills for executive-level interactions.
- 9Ability to work under pressure and meet tight deadlines.
