Executive Assistant to VP, Global Calendar Management
Overview
You will support three Vice Presidents in a global, high-visibility environment, managing complex calendars and driving strategic alignment across AI initiatives. You will coordinate with stakeholders across geographies and functions, ensuring seamless operations and confidentiality. What You'll Do8
- 1Manage complex, global calendars for three VPs, each with 15-20 meetings daily, prioritizing time in alignment with business goals.
- 2Coordinate leadership rhythms: prepare agendas, briefing materials, and track follow-ups to ensure execution across teams.
- 3Decide prioritization of incoming requests from external entities and coordinate with other Exec Assistant's for other VPs.
- 4Plan and manage domestic and international travel, including detailed itineraries, logistics, and expense processes.
- 5Ghost write communications on behalf of VPs, ensuring follow-up and clarity.
- 6Handle confidential and sensitive information with discretion and professionalism.
- 7Anticipate needs, remove obstacles, and continuously improve processes to enhance efficiency.
- 8Coordinate meetings, catering, and communication setup when the meeting is set by the VP.
Requirements8
- 1*5+ years* of professional experience, including supporting senior executives in a dynamic, global environment.
- 2Proven experience as an Exec Assistant for a VP in a mid to large-size company.
- 3Strong verbal and written skills to communicate on behalf of VPs, with strong digital fluency in MS Suite including Outlook, Teams, PowerPoint, Excel.
- 4Ability to decipher order of priority for incoming and outgoing needs, providing gatekeeping ability.
- 5Experience making decisions on priorities in grey situations and gauging politics of the moment.
- 6Strong organizational and time management skills with the ability to prioritize effectively.
- 7Excellent communication and stakeholder management capabilities.
- 8A proactive, solutions-oriented mindset with strong attention to detail.
