Office Manager and Executive Assistant, Communications & Operations
Overview
This role owns in-person executive support, purchasing, travel, and office operations for a fast-growing company. You will coordinate calendars, travel, onboarding, and vendor relationships for a growing team across domestic and international needs. You’ll keep the office organized, tracks tasks, and improve internal systems as the company scales. This position offers broad ownership and room to grow with the company.
What You'll Do10
- 1Build and manage executive and team scheduling, travel planning, and event logistics for in-person and remote stakeholders
- 2Own purchasing, vendor coordination, and expense documentation to keep operations running smoothly
- 3Coordinate interviews, onboarding, and offboarding with payroll, benefits, and IT access
- 4Maintain office readiness, records, subscriptions, and recurring deadlines
- 5Improve and document systems for purchasing, travel, onboarding, document management, and office operations
- 6Take ownership of special projects and handle unexpected problems that fall outside other roles
- 7Proactively keep CRM data current and track open operational tasks until completion
- 8Support a fast-moving team by resolving routine operational questions and directing to the right resources
- 9Interact professionally with engineers, candidates, vendors, customers, and external partners
- 10Assist with vendor management and event coordination for company-wide activities
Requirements10
- 1Previous experience in company operations or office management or a similarly demanding role
- 2Exceptional organization and attention to detail
- 3Strong written and verbal communication skills
- 4Ability to manage many changing priorities without missing commitments
- 5Resourcefulness and comfort tackling unfamiliar tasks with limited direction
- 6Good judgment regarding urgency, confidentiality, cost, and escalation when needed
- 7Comfortable working in person in a fast-moving team
- 8Proficiency with modern productivity, travel, purchasing, and communication tools
- 9Experience with purchasing, especially of highly technical equipment
- 10Experience coordinating complex travel and company events
