Overview

Own the day-to-day office operations and people support across multiple locations at a fast-growing enterprise. You will enable smooth workplace experiences, partner with senior leaders, and help implement People Operations initiatives at scale. This hands-on role requires organization, proactive communication, and a positive, collaborative mindset in a fast-paced environment. What You'll Do11

  • 1Build and maintain welcoming office environments across all sites with professional, organized spaces
  • 2Drive coordination of office supplies, kitchen stock, and facilities in partnership with building management and vendors
  • 3Coordinate catering for weekly team meals, executive lunches, and onsite meetings to support collaboration
  • 4Provide administrative support to Finance including handling mail, invoices, and budget tracking
  • 5Provide day-to-day support to senior leaders with calendar management, meeting coordination, and stakeholder scheduling
  • 6Assist with travel logistics for leadership, reservations, and ad hoc tasks aligned to business priorities
  • 7Support People Operations initiatives with employee engagement events, recognition programs, and internal communications
  • 8Assist with cross-functional updates and coordination of internal initiatives and communications
  • 9Prepare meeting spaces, greet clients and guests, and ensure smooth onboarding experiences
  • 10Maintain organized shared files and records across digital and physical systems
  • 11Collaborate with cross-office teams to standardize office management practices across locations

Requirements9

  • 1Bachelor’s degree required
  • 20–2+ years of administrative, office coordination, or executive assistance experience
  • 3Strong interpersonal skills with staff, executives, vendors, and external partners
  • 4Highly organized and detail-oriented with the ability to manage multiple projects and deadlines
  • 5Self-motivated and resourceful in a fast-paced, entrepreneurial environment
  • 6High level of integrity, professionalism, and discretion with sensitive information
  • 7Strong written and verbal communication skills
  • 8Demonstrated ownership mindset and proactive problem-solving attitude
  • 9Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); familiarity with Slack, Microsoft Teams, Confluence, Canva, or Adobe Suite is a plus
