Overview
The Facilities Operations Control Representative ensures safety of occupants and smooth operation of all facility functions at the University of Miami Coral Gables campus. This role is essential and involves leading a team to manage communications and work orders.
What You'll Do24
- 1Answer phone calls with appropriate greeting and resolve issues or transfer to appropriate staff
- 2Enter transcribe record store and maintain information in written or electronic form
- 3Monitor and respond to email requests through customer service accounts
- 4Ensure alarm notifications are accurately reported
- 5Oversee work order control and management
- 6Distribute office supplies and maintain uniform inventory
- 7Generate and distribute work orders from online requests phone calls and emails
- 8Adhere to University and unit-level policies and safeguard assets
- 9Act as liaison to students faculty staff and Facilities team members for maintenance reports
- 10Dispatch and schedule Facilities technicians using communication methods and work order system
- 11Assist in communication of maintenance major repairs and shutdowns
- 12Maintain effective communication with administration management and field team
- 13Respond to urgent matters involving managers mechanics and contractors
- 14Perform quality assurance reviews of work orders for accuracy
- 15Resolve customer complaints regarding Facilities matters
- 16Serve as liaison to students parents faculty and staff about Facilities matters
- 17Work with approved contractors to dispatch issues and follow up
- 18Evaluate and assign proper access control levels for online requests
- 19Notify on-call leaders and mechanics of after-hour emergencies
- 20Generate end-of-shift reports for Facilities team members
- 21Support creation of on-call roster and notify on-call personnel
- 22Prepare and distribute holiday schedules for Facilities Operations
- 23Participate in departmental meetings and university initiatives
- 24Contribute to disaster preparation and recovery plans
Requirements11
- 15+ years building ETL pipelines with Spark and Airflow
- 2High School diploma or equivalent
- 3Minimum 1 year of relevant experience
- 4Knowledge of Microsoft Word Microsoft Excel and Microsoft Outlook
- 5Preferred knowledge of work order management system
- 6Skills in assessing organizing prioritizing and multi-tasking
- 7Strong written and verbal communication abilities
- 8Ability to work in a team setting
- 9Accountability for all aspects of role and continuous improvement
- 10Willingness to take initiative and work independently
- 11Strong attention to detail
