Overview

What You'll Do9

  • 1Manage executive calendars, schedule appointments, and route messages from external partners and internal staff.
  • 2Record minutes during leadership meetings and distribute them within 24 hours.
  • 3Ensure daily department coverage by coordinating with managers and staff.
  • 4Assist the Director of Quality Management with pre and post Joint Commission Survey documentation and scheduling.
  • 5Support clinical staff in scheduling evaluations and facilitating communication during admissions and discharges.
  • 6Coordinate OMH trainings, including GOER, TRUST, and annual updates, for staff compliance.
  • 7Maintain confidential records for vaccine titers and tuberculosis screening results.
  • 8Prepare meeting materials and track action items from executive sessions.
  • 9Handle incoming calls and correspondence, prioritizing urgent matters for executive staff.

Requirements9

  • 1High school diploma or equivalent.
  • 21+ years of administrative or secretarial experience in a healthcare setting.
  • 3Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) for scheduling and documentation.
  • 4Experience with electronic health records systems preferred.
  • 5Strong organizational skills to manage multiple calendars and deadlines.
  • 6Ability to pass national and state criminal background checks.
  • 7Documentation of quantitative titers for measles, mumps, rubella, varicella, and hepatitis B.
  • 8Completion of tuberculosis screening (provided on-site).
  • 9Willingness to complete OMH required trainings (GOER, TRUST, annual updates).
