Overview

Serve as the primary administrative anchor for the COO, CMO, and CFO at Washington Health Medical Group, a growing healthcare organization. You will manage complex calendars, orchestrate physician contracts, and coordinate high-stakes projects like clinic transitions. Working directly with the executive team, you will own the Microsoft Office Suite workflows that keep operations running. What You'll Do9

  • 1Coordinate the daily calendars and priorities for three C-suite executives, ensuring seamless scheduling across time zones and departments.
  • 2Manage physician contract workflows from drafting to execution, including tracking amendments, exhibits, and transition loans using Microsoft Word and SharePoint.
  • 3Lead special projects by developing project plans with milestones and deliverables, and coordinate cross-functional teams using Microsoft Project or similar tools.
  • 4Oversee clinic and practice transitions, including vendor coordination, FMV analysis, and EMR setup, to ensure smooth operational handoffs.
  • 5Act as the liaison for legal matters, including malpractice insurance tracking and deposition scheduling, maintaining confidentiality at all times.
  • 6Run the All Physicians and Providers Forum meeting end-to-end: scheduling, coordinating AV and catering, creating agendas and handouts, and recording minutes.
  • 7Monitor office supply inventory and process furniture requests through eProcurement and Materials Management, or external vendors.
  • 8Maintain vendor contracts on SharePoint, ensuring up-to-date records and easy access for stakeholders.
  • 9Support the executive team with ad-hoc administrative tasks that require sound judgment and discretion.

Requirements7

  • 15+ years in high-level administrative or operational roles, with experience supporting C-suite executives.
  • 2High School Diploma required, Bachelor's Degree preferred.
  • 3Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint for document creation and data management.
  • 4Proven ability to work across departments and communicate effectively with all organizational levels.
  • 5Strong project management skills, with the ability to lead through influence and deliver results.
  • 6Excellent organizational skills to prioritize and complete multiple concurrent tasks in a timely manner.
  • 7Knowledge of English composition, spelling, grammar, and basic math principles.
