What You'll Do10

  • 1Own calendar management for department leadership, scheduling appointments and meetings with Outlook.
  • 2Coordinate meetings, prepare agendas, and distribute minutes within 24 hours.
  • 3Draft and route correspondence, reports, and documents, maintaining accuracy and confidentiality.
  • 4Monitor inboxes and direct requests to appropriate staff, ensuring timely responses.
  • 5Maintain organized electronic and paper files, including confidential records, using SharePoint and physical filing systems.
  • 6Ensure administrative coverage during absences, coordinating with team members.
  • 7Support quality management initiatives by preparing materials and tracking action items.
  • 8Prepare meeting documentation for regulatory and accreditation activities, including Joint Commission surveys.
  • 9Facilitate communication between administrative, clinical, and other departments for seamless operations.
  • 10Generate reports, spreadsheets, and presentations using Excel and PowerPoint for leadership review.

Requirements10

  • 13+ years of administrative or executive support experience in a corporate or healthcare setting.
  • 2Proven ability to manage complex calendars and coordinate schedules with Outlook.
  • 3Excellent written and verbal communication skills for drafting professional correspondence.
  • 4Demonstrated attention to detail in managing multiple priorities and confidential information.
  • 5Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • 6Experience working with leadership and clinical professionals in a multidisciplinary environment.
  • 7High school diploma or equivalent; bachelor's degree preferred.
