Overview

Support the Director and Business Operations Administrator with high level administrative tasks at scale across state, tribal, and federal partners. This role partners with leadership to manage meetings, calendars, budgets, travel, and compliance. You will supervise the Community Outreach Coordinator and contribute to agency strategic goals and policies. The position blends secretarial expertise with project coordination and stakeholder engagement.

What You'll Do10

  • 1Build and coordinate meetings for AACIHC staff and Advisory Council across state and federal partners
  • 2Prepare agendas, materials, and presentations for meetings and publish updates on online platforms
  • 3Document detailed meeting minutes and maintain membership directories and stakeholder lists
  • 4Coordinate travel arrangements, travel claims, and reimbursements for all agency staff
  • 5Supervise and mentor the Community Outreach Coordinator and ensure timely communications and program support
  • 6Support development and implementation of agency strategic goals, policies and work plans
  • 7Organize agency conferences and events such as CHR Annual Summit and related trainings
  • 8Manage director's calendar and respond to inquiries with researched information
  • 9Oversee procurement documents and payments for consultants and office expenses
  • 10Maintain file integrity and facilitate timely access to information for internal and external stakeholders

Requirements5

  • 1Three to five years of high-level professional administrative support including supervisory experience
  • 2Knowledge of state government processes, tribal relations, and health care delivery systems
  • 3Experience coordinating meetings, travel, and budgets in a government or healthcare setting
  • 4Strong written and verbal communication skills and ability to handle confidential information
  • 5Ability to work independently with minimal oversight and manage multiple priorities
