Overview

This role leads the end to end planning and execution of CSG South conferences meetings and delegations for Southern state leaders. Youll own logistics from venues to on site coordination ensuring professional welcoming experiences at scale. You will work with the Director of Operations and Events regional teams host state partners and vendors to deliver high quality events that support public service and collaboration.

What You'll Do10

  • 1Build detailed logistical plans for CSG South convenings including the Southern Legislative Conference leadership programs and international delegations
  • 2Partner with cross functional teams to translate program objectives budgets and timelines into operational plans with clear responsibilities and approvals
  • 3Design and maintain event timelines production schedules planning checklists and on site operating documents
  • 4Coordinate venue space hotel accommodations F&B audiovisual transportation decor signage and related services
  • 5Conduct venue inspections pre conference meetings and risk assessments to identify operational risks and contingency plans
  • 6Prepare and manage BEOs room diagrams menus guarantees AV specs resumes and revisions
  • 7Collaborate with departments to ensure branding sponsorship participant needs and accessibility requirements are met
  • 8Anticipate logistical challenges and resolve issues promptly on site during events
  • 9Lead on site logistics for assigned conferences and act as primary day to day liaison for venues vendors and production partners
  • 10Support post conference debriefs and implement improvements for future events

Requirements10

  • 1Bachelor s degree in event management hospitality communications public administration business administration or related field or equivalent combination of education and experience
  • 2Five or more years of professional experience planning and executing conferences meetings and complex events
  • 3Demonstrated experience coordinating venues vendors timelines budgets and multiple workstreams
  • 4Experience supporting large scale conferences involving elected officials government personnel executives sponsors or other high level participants preferred
  • 5Strong knowledge of hotel and venue operations banquet event orders food and beverage planning AV production transportation room configurations and on site management
  • 6Experience reviewing proposals negotiating contracts monitoring vendor performance budgeting and expense reconciliation
  • 7Experience with event registration housing virtual meetings project management and related technology platforms; familiarity with Cvent Passkey JotForm Zoom Monday.com and Microsoft Office Suite preferred
  • 8Exceptional organizational skills attention to detail judgment and follow through
  • 9Ability to travel up to 20 for conferences events or meetings
  • 10Strong written verbal interpersonal and customer service skills
