Collateral Documentation Specialist - Mortgage Servicing
Overview
You will review, prepare, execute, and record mortgage documents to ensure clear chain of title for loans serviced by Newrez/Shellpoint Mortgage Servicing (SMS). You will work with borrowers, clients, investors, and servicing partners to evaluate requests, abstract land records, and ensure documents meet investor and guarantor guidelines. This role sits within the Document Administration team and involves heavy coordination with legal, compliance, custodians, and servicing partners. You will own the daily task queue, manage exception reports, and serve as a resource for junior team members. What You'll Do8
- 1Abstract land records, title reports, and mortgage documents to determine what is needed to perfect security interest, transfer ownership, or complete borrower-requested transactions like assumptions, partial releases, and subordinations.
- 2Identify, process, and prepare documents such as lien releases, assignments of mortgage, allonges, lost note affidavits, lost mortgage affidavits, partial releases, modifications, legal description corrections, assumptions, subordinations, and corrective documents for loans of varying complexity.
- 3Review prepared loan documentation to ensure thoroughness, accuracy, and completeness against documentation standards and task SLAs.
- 4Address inquiries from vendors, investors, and portfolio managers professionally and within required timelines.
- 5Manage the daily task queue and exception reports to meet SLAs and complete assigned duties.
- 6Update and annotate all actions and follow-ups in all servicing systems, including the Mortgage Electronic Records System (MERS) database.
- 7Administer and audit MERS system usage, signing authority, and executed documents to maintain compliance with MERS membership rules.
- 8Complete monthly inventory audits with custodians, file centers, and the onsite file room.
Requirements10
- 12-4 years of experience in document administration or mortgage servicing.
- 2Intermediate knowledge of mortgage servicing and originations processes including post closing, loss mitigation, bankruptcy, foreclosure, and REO.
- 3Intermediate knowledge of servicing systems, image repositories, MERS, collateral tracking systems, custodial systems, and vendor systems.
- 4Intermediate knowledge of abstracting land records, reviewing title reports, reading legal descriptions, and interpreting surveys or plat maps.
- 5Intermediate knowledge of documents used to perfect security interest, transfer ownership, and modify, subordinate, assume, or correct mortgage documents.
- 6Intermediate knowledge of investor requirements for perfected collateral for delivery, sales, and certifications.
- 7Intermediate knowledge of foreclosure and bankruptcy requirements for perfected collateral.
- 8Proficient in MS Office (Word, Excel, Outlook), including ability to merge, summarize, and present data using pivot tables and formulas.
- 9Strong research and analytical skills to comprehend applicable state laws.
- 10High school diploma or equivalent required; associate or bachelor's degree preferred.
