Administrative Coordinator, APS & Onsite Administrative Support
Overview
Own and coordinate specialized administrative support for the department at scale across internal and external contacts. Work with schedules, reports, data systems, and front line customer service in a field and facility setting. You’ll engage in projects requiring independent research and coordination and support a range of office functions to enable department goals. This role combines administrative excellence with technical support and process improvement in a regulated environment.
What You'll Do10
- 1Build and maintain documents, schedules, and reports using software to support department goals
- 2Coordinate events and travel by ensuring complete and accurate information and efficient logistics
- 3Lead data analysis, queries, and database related tasks to produce timely information for leadership
- 4Provide system support, LAN and database administration, and build databases to support operations
- 5Train staff on office procedures and software applications and promote standardized processes
- 6Recommend cost effective productivity changes and implement approved process improvements
- 7Support confidential material handling and ensure compliance with regulatory requirements
- 8Assist with calendars, meetings, catering, expenses, and inquiries to deliver high quality service
- 9Serve as front line point of contact for guidance on procedures and resolve routine issues
- 10Back up department leadership and manage multiple duties to maintain workflow
Requirements5
- 1High school graduate or GED plus three years of clerical or related experience
- 2Advanced experience with computer software applications and email systems
- 3Ability to coordinate complex programs or projects with multiple internal and external contacts
- 4Strong organizational skills and attention to detail in document preparation and reporting
- 5Familiarity with data analysis, calculations, and basic system support tasks
