Administrative Assistant, Office Support & Database Management
Overview
Provide administrative and organizational support to management and departments across a fast paced office. Manage records, correspondence, scheduling, and onboarding tasks while ensuring confidentiality and accuracy. Collaborate with vendors and internal teams to keep operations running smoothly and support company projects. This role offers in person work in Phoenix with growth potential in a small to mid sized administrative team.
What You'll Do10
- 1Build and maintain organized electronic and physical files and documentation
- 2Answer, screen, and direct phone calls and emails to appropriate recipients
- 3Enter update and maintain information in company systems and databases
- 4Assist with scheduling meetings and preparing materials and agendas
- 5Process invoices purchase orders and expense reports and coordinate with vendors
- 6Prepare notices announcements and internal communications
- 7Assist with onboarding new hires and orienting them to the team
- 8Provide backup administrative support to other departments as needed
- 9Identify administrative issues or inefficiencies and communicate them to management
- 10Support special projects and administrative initiatives and maintain confidentiality
Requirements10
- 1High school diploma or equivalent required
- 21–3 years administrative office or related experience preferred
- 3Strong verbal and written communication skills
- 4Excellent organizational and time management skills
- 5Strong attention to detail and accuracy
- 6Ability to prioritize and manage multiple tasks and deadlines
- 7Ability to maintain confidentiality and exercise sound judgment
- 8Professional positive attitude and ability to work independently and in a team
- 9Proficiency with Microsoft Office including Outlook Word and Excel
- 10Ability to navigate multiple computer applications efficiently
