Administrative Assistant II, MS Office & Data Support
Overview
The Administrative Assistant II will own data gathering, reporting, and office coordination for the Facility & Fleet Management Team at HQ in Los Angeles. You will support budgeting, invoicing, travel processes, and record retention in a fast paced, highly collaborative environment. You will develop and revise internal forms, create charts and graphs, and prepare summaries for leadership. This role offers exposure to cross functional teams and opportunities to improve administrative workflows. What You'll Do10
- 1Build and maintain data summaries, reports, and charts for leadership reviews
- 2Prepare travel authorizations, expense reimbursements, and vendor payments
- 3Coordinate annual budget documents and financial record keeping
- 4Process invoices, verify accuracy, and ensure timely payments
- 5Review records and manage retention for invoices and training documents
- 6Support internal forms development and data collection methods
- 7Collaborate with team members to prioritize workload and communicate clearly
- 8Organize meeting materials and maintain office equipment and systems
- 9Assist with administrative procedures and data analysis tasks
- 10Contribute to process improvements and cross functional coordination
Requirements7
- 1Five years of relevant experience with MS Office including Word, Outlook, Teams & Excel
- 2Experience processing invoices and payments
- 3High school diploma/GED with related experience or an associate/bachelor degree in a related field with relevant experience
- 4Strong written and verbal communication skills
- 5Ability to work independently and in a team, multitask, and manage time
- 6Detail oriented, organized, and able to handle pressure
- 7Knowledge of administrative procedures, budgeting concepts, and basic data analysis
