Administrative Assistant - Breast Center
Overview
You will own front-desk operations and clerical support for the Breast Center at Providence Saint John's Health Center in Santa Monica, CA. You'll manage patient flow, schedules, and records for a high-volume outpatient clinic recognized for 5-star quality ratings. You'll work with a multidisciplinary team of physicians, nurses, and support staff dedicated to patient-centered care. What You'll Do8
- 1Greet patients, families, and visitors, and direct them to appropriate clinical areas, maintaining a welcoming and professional environment.
- 2Schedule patient appointments, manage the calendar for the Breast Center, and coordinate with clinical staff to optimize daily workflow.
- 3Process patient check-in and check-out, verify insurance information, collect co-pays, and update electronic health records accurately.
- 4Manage incoming calls, take messages, and respond to inquiries, routing urgent requests to clinical personnel.
- 5Prepare and maintain patient charts, scan documents, and ensure all records are complete and compliant with privacy regulations.
- 6Support the clinical team with administrative tasks, including typing correspondence, preparing reports, and managing supply inventory.
- 7Assist with patient education materials, provide directions, and support patient navigation through diagnostic and treatment processes.
- 8Troubleshoot administrative issues, identify process improvements, and escalate complex problems to the practice manager.
Requirements8
- 11+ years secretarial or clerical experience.
- 2High school diploma or equivalent.
- 3Proficiency with Microsoft Office (Word, Excel, Outlook) and electronic health record systems.
- 4Strong communication skills, both verbal and written, with a professional and courteous demeanor.
- 5Ability to multitask, prioritize tasks, and work effectively in a fast-paced clinical environment.
- 6Experience in a healthcare setting, such as a clinic or hospital, is preferred.
- 7Associate's degree preferred.
- 8Knowledge of medical terminology and insurance processes is a plus.
