Overview

You will own front-desk operations for a busy primary care practice, ensuring every patient interaction is courteous, private, and efficient. You will coordinate appointments, registration, referrals, and billing while supporting physicians and nurses. You will report to the Practice Manager or Ambulatory Practice Coordinator, serving as the central communication hub for patients and staff. What You'll Do9

  • 1Greet patients and visitors with courtesy, service, respect, and privacy, acting as the first point of contact.
  • 2Serve as the central communication source, providing accurate information and following up promptly to ensure patient needs are met.
  • 3Perform check-in, registration, scheduling, and verification of demographic and fiscal data using Microsoft Office and web-based applications.
  • 4Collect co-payments following standards, and schedule, reschedule, or cancel appointments to accommodate patient and provider needs.
  • 5Obtain and enter referrals, monitoring patient flow and proactively solving issues like early or late arrivals.
  • 6Act as liaison between patients and practice staff or other areas to ensure optimal service delivery.
  • 7Facilitate billing functions, including check-out and follow-up appointment scheduling, and prepare medical records.
  • 8Research and follow through on information requests, and act as a group leader in the manager's absence.
  • 9Train and guide other staff as a department resource, and participate in small projects under manager direction.

Requirements9

  • 1High School diploma or GED required.
  • 21-3 years related work experience required.
  • 3Experience with computer systems, including web-based applications and Microsoft Office (Outlook, Word, Excel, PowerPoint, or Access).
  • 4Medical Admin Assistant Cert preferred.
  • 51-3 years experience in healthcare or service/hospitality environment preferred.
  • 6Ability to read, write, and speak English to follow safety instructions and communicate with patients and staff.
  • 7Ability to demonstrate basic knowledge of fundamental concepts and practices.
  • 8Ability to interact respectfully with others and provide high-level customer service using active listening and problem-solving.
  • 9Ability to remain calm in stressful situations and lift up to 20 pounds.
