Office Assistant, Medical Office & Billing
Overview
You will keep a Virtua Health practice running by owning patient registration, insurance verification, and billing workflows. You will answer calls by the third ring, schedule appointments, and collect co-pays while entering every charge and payment into the system. Working with a tight team of providers and administrative staff, you will also prepare referrals and obtain pre-certifications. Your accuracy drives revenue and patient satisfaction. You will also train new office assistants and serve as a go-to resource.
What You'll Do8
- 1Answer and screen phone calls by the third ring, directing each call to the right person without dropping details.
- 2Schedule patient appointments and register patients, updating demographics and verifying insurance in EPIC.
- 3Enter charges and payments into the system, reconcile daily batches, and prepare bank deposits.
- 4Collect co-pays and issue receipts, balancing the cash drawer at shift end.
- 5Prepare referrals and obtain pre-certifications with insurance portals and payer websites.
- 6Train and direct office assistants, including building work schedules and checklists.
- 7Serve as office resource and mentoring role model for new hires.
- 8Run front-desk reports in EPIC to close out each day and flag discrepancies.
Requirements8
- 11-2 years of medical office experience, including scheduling and insurance verification.
- 2High school diploma or equivalent.
- 3Strong computer literacy, including Microsoft Office and practice management systems.
- 4Excellent communication and customer service skills for phone and in-person interactions.
- 5Ability to multi-task across phones, front desk, and billing without losing accuracy.
- 6Experience with EPIC or similar EHR software.
- 7Knowledge of medical billing codes and co-pay collection procedures.
- 8Bilingual in Spanish a plus.
