Account Administrator, ADESA & Automotive Retail Operations
Overview
Own daily account operations for commercial and dealer partners at ADESA, supporting financials, inventory, and sale day activities across a large network. Collaborate with CAM and cross-functional teams to ensure accurate systems, timely invoicing, A/R, and reconciliation. This role sits at the intersection of administration, sales support, and compliance, delivering a seamless experience in a fast-paced, vehicle services environment.
What You'll Do10
- 1Build and manage daily account operations including invoicing A/R and payment processing to ensure timely settlements
- 2Oversee high level inventory monitoring and reporting pre and post sale to support accurate decision making
- 3Ensure system data integrity and coordinate cross functional follow up with internal teams and vendors
- 4Prepare sales lineups post and pre auction and handle fee postings and recon activities with precision
- 5Perform detailed financial reconciliation of transactions after auction events to maintain accurate ledgers
- 6Provide elevated administrative support to the sales team and resolve complex customer inquiries or account discrepancies
- 7Maintain accurate vehicle data customer records and transaction history
- 8Ensure compliance with company policies and state and federal laws and assist with audits
- 9Collaborate with lot shop and admin teams to improve processes and respond to urgent requests
- 10Adapt to aggressive targets and timelines while delivering high quality administrative results
Requirements10
- 1High School diploma or GED preferred
- 218 years of age with a valid driver's license
- 3Ability to safely drive a variety of vehicle makes models and sizes
- 4Strong organizational skills with the ability to manage complex financial data invoicing and reporting
- 5Excellent verbal and written communication with a focus on professional tone
- 6Detail oriented with a high degree of accuracy while multitasking in a fast paced environment
- 7Analytical thinking with experience in transaction reconciliation and inventory tracking
- 8Team player capable of collaborating with cross functional departments and external vendors
- 9Adaptability to meet aggressive targets and deadlines
- 10Willingness to perform other duties as assigned by the manager
