What You'll Do13
- 1Lead operational planning for worship and production departments by converting leadership vision into actionable plans and timelines
- 2Proactively anticipate operational needs through forward-looking planning for services rehearsals and events
- 3Coordinate worship services rehearsals seasonal experiences and special projects ensuring excellence and alignment
- 4Serve as primary liaison partnering with internal ministries school personnel vendors and ministry leaders to coordinate needs
- 5Manage calendars schedules space reservations and workflows keeping priorities organized and aligned
- 6Facilitate departmental planning by documenting decisions translating priorities into assignments and tracking progress
- 7Develop professional communication for volunteers musicians vendors and partners ensuring clear expectations
- 8Evaluate requests impacting departments by assessing scheduling resources and ministry priorities coordinating solutions
- 9Coordinate relationships with contract musicians vendors and service providers managing scheduling agreements and hospitality
- 10Oversee operational readiness for events through production support space reservations equipment and hospitality arrangements
- 11Monitor ministry expenditures processing invoices reconciling finances maintaining budget tracking and supporting stewardship
- 12Research products services and vendors recommending options balancing ministry objectives budgets and responsible use
- 13Support weekend services rehearsals and special events acting as operational point person resolving logistical needs
Requirements20
- 1Minimum 3 to 5 years experience in operations administration project coordination event management or ministry support
- 2Demonstrated experience coordinating multiple projects priorities and stakeholders simultaneously
- 3Experience exercising sound judgment discretion and independent decision making within organizational guidelines
- 4Experience managing operational details schedules communications and administrative processes with accuracy
- 5Bachelor's degree in Business Administration Nonprofit Management Ministry Leadership Communications Event Management or related field
- 6Experience supporting church nonprofit educational institutions or ministry environments
- 7Experience coordinating budgets invoices purchasing processes contracts or vendor relationships
- 8Familiarity with worship production environments or church operations
- 9Musical background or experience working alongside worship ministries
- 10Ability to exercise discretion independent judgment regarding ministry operations planning and resource allocation
- 11Strong project management organizational skills anticipating needs establishing priorities and managing multiple initiatives
- 12Proven ability to build collaborative relationships across departments while maintaining alignment with ministry goals
- 13Strong attention to detail commitment to operational excellence proactive planning and timely execution
- 14Experience evaluating competing requests and making recommendations based on ministry goals resources and priorities
- 15Familiarity with project management systems like Planning Center Online Monday.com or CCB
- 16Commitment to responsible stewardship of ministry resources budgets and church assets
- 17Proficiency in Microsoft Office Suite for documentation communication and task coordination
- 18Available for evenings weekends or holidays as required
