Staffing Coordinator - Nursing Administration, Per Diem
Overview
You will own daily staffing for a 343-bed acute care hospital, coordinating with Nursing Supervisors and Managers to meet California staffing guidelines. You will manage Kronos schedules, adjust assignments for sick calls, and process registry requests across multiple facilities. You will partner with the Clinical Administrative Supervisors in staffing huddles and serve as the communication link between Nurse Leads and leadership. This role offers direct impact on patient care capacity and exposure to a fast-paced academic medical center environment.
What You'll Do10
- 1Review and respond to all written and verbal communication within shift, checking email, voicemail, and Teams.
- 2Facilitate staffing huddles, arriving with prepared information on current and projected unit capacity.
- 3Maintain Kronos by assigning staff to worked units and updating sick calls in real time.
- 4Complete staffing plans for the next shift by 1730/0530, distributing assignments to Nurse Leads and revising needs as changes occur.
- 5Collaborate with Clinical Administrative Supervisors to ensure assignments comply with California staffing ratios and adjust as needed.
- 6Communicate staffing adjustments to Nurse Leads and escalate urgent issues to the CAS or Manager via text or call.
- 7Manage daily registry requests and process required paperwork for agency staff.
- 8Utilize scheduling and acuity software to track float/flex logs and maintain accurate records per regulatory guidelines.
- 9Compile CAS/Staffer reports, including sick call logs, and submit revisions within the defined timeframe.
- 10Perform other duties as assigned, maintaining professional conduct and proper phone etiquette.
Requirements10
- 1High school diploma or equivalent required; Associate's degree in related field preferred.
- 21 year experience as a staffing specialist/clerk in an acute hospital setting (unit secretary experience may substitute).
- 32 years experience in a related field preferred.
- 4Experience with computerized scheduling and general office procedures required.
- 5Proficient in Microsoft Office and strong computer skills required.
- 6Effective oral and written communication skills demonstrated.
- 7Ability to problem-solve and work independently with high organization and detail orientation.
- 8Capability to multi-task in a fast-paced environment with multiple distractions.
- 9Experience with Kronos for payroll preferred.
- 10Fire Life Safety Training (LA City) required within 30 days of hire if not already held.
