Senior Events Manager UATX
Overview
Design and execute events that embody the University of Austin's mission of truth open inquiry and academic excellence. Report to the Chief of Staff and own every event from concept to execution focusing on flawless logistics and strong vendor relationships.
What You'll Do11
- 1Own the full lifecycle of UATX events from intimate faculty dinners to large-scale conferences ensuring each detail reflects the university`s standards of excellence.
- 2Build and manage relationships with vendors venues caterers AV teams and production partners negotiating contracts holding partners accountable and serving as primary point of contact.
- 3Develop detailed event plans run-of-show documents timelines floor plans and staffing assignments anticipating logistical needs and contingencies.
- 4Manage end-to-end event budgets tracking expenses reconciling invoices and identifying cost-effective impact opportunities.
- 5Coordinate cross-functionally with academic leadership advancement admissions marketing and operations to align events with institutional priorities.
- 6Oversee guest experience and hospitality including invitations RSVPs registration seating signage and on-site management for VIPs faculty families and dignitaries.
- 7Lead on-site execution directing setup managing vendors and volunteers and troubleshooting issues in real time.
- 8Maintain meticulous records post-event reports and vendor evaluations capturing lessons learned and refining playbooks.
- 9Ensure compliance with venue safety insurance and university requirements for every event.
- 10Travel occasionally and work evenings and weekends as needed approximately 10–20% of the role.
- 11Utilize AI tools to review applications analyze resumes and assess responses while leaving final hiring decisions to humans.
Requirements9
- 15+ years building ETL pipelines with Spark and Airflow
- 23-5+ seasons experience in events coordination or management especially within higher education nonprofit advancement or hospitality
- 35+ years developing and managing complex budgets
- 4Proven ability to negotiate contracts and manage partnerships within budget and quality standards
- 5Strong communication skills for interfacing with senior leaders donors faculty and external partners
- 6Expertise with event management registration and CRM tools
- 7Attention to detail and organizational skills to handle multiple moving parts
- 8Flexibility to work evenings weekends and occasional travel
- 9Experience with AI tools for resume analysis and application review
