Referral Coordinator, Medical Administrative Assistant
Overview
As our Referral Coordinator, you will own the full referral and prior authorization lifecycle, managing 50+ active referrals each month for Thrive Family Clinic. You'll work alongside three physicians, two medical assistants, and a front office team to ensure timely specialist access and precise EMR documentation. You'll become the patient's point of contact, guiding them through the referral process with clarity and compassion. Our streamlined system uses Monday.com and Athena Health EHR, and you'll help us improve it with your proactive ideas.
What You'll Do10
- 1Manage the referral and prior authorization process from initiation to completion for all in-house and external specialist appointments and procedures.
- 2Track referral status, follow up on pending items, and communicate updates to patients and the office team.
- 3Ensure referral documentation is accurate and complete in the EMR and team work management interface.
- 4Coordinate with physicians, medical assistants, and external offices to clarify orders or provide additional information.
- 5Verify insurance coverage and ensure pre-authorizations are obtained when necessary.
- 6Assist patients with understanding how the referral process works, providing general guidance on how to select specialists and when to schedule specialist appointments.
- 7Follow our outlined process for maintaining an organized referral tracking system in Monday.com.
- 8Provide weekly reports to keep us updated.
- 9Act as a point of contact for patients with questions or concerns related to their referrals.
- 10Collaborate with the front office team to ensure that prior authorizations, benefits, and eligibility are approved and reviewed prior to scheduling in office procedures.
Requirements8
- 11-2 years of experience in a medical administrative support role or similar healthcare position.
- 2Familiarity with insurance authorization processes and HIPAA regulations.
- 3Strong organizational skills with keen attention to detail and accuracy in documentation.
- 4Excellent verbal and written communication abilities for clear patient and team interactions.
- 5Ability to work independently and collaboratively within a dynamic team environment.
- 6Proficiency in relevant software applications, such as Athena Health EHR, Klara, Monday.com, and insurance portals or third-party referral management systems.
- 7A proactive approach to problem-solving and commitment to continuous process improvement.
- 8Bilingual in Spanish is a plus.
