Receptionist/Facilities Administrative Assistant
Overview
You will be the first point of contact for our Phoenix office, managing front desk operations and facility support for a full-service mechanical and plumbing contractor. You will handle phone coverage, mail, supplies, visitor logs, and vendor coordination, while also supporting HR and leadership with internal communications and social media. This role pairs administrative precision with hands-on facilities work, and you will use Microsoft Office, Outlook, and Bluebeam daily. Working closely with the operations team, you will ensure the office runs smoothly, from meeting setups to safety programs. What You'll Do9
- 1Greet visitors and manage incoming calls and inquiries, screening and directing to the appropriate staff.
- 2Maintain visitor access protocols and notify staff of arrivals, keeping the reception area professional and clean.
- 3Submit and track maintenance and facility service requests, coordinating with vendors and building management.
- 4Support meeting room setup and office readiness, including catering and event preparation.
- 5Manage office supply inventory and handle mail and packages, logging and distributing as needed.
- 6Oversee equipment servicing and building access controls, reporting issues promptly.
- 7Set up, configure, and deploy mobile devices (iPhones, iPads, laptops) using MDM, managing inventory and lifecycle.
- 8Troubleshoot device issues and support end users, partnering with IT to ensure a secure mobile environment.
- 9Provide administrative support to HR, Payroll, and Operations, maintaining records and basic reports.
Requirements9
- 1High school diploma or equivalent.
- 21–3 years of experience in reception, office administration, facilities support, or a related field.
- 3Ability to operate professionally within a construction-based work environment.
- 4Strong verbal and written communication skills.
- 5Exceptional customer service and interpersonal skills.
- 6Proficiency with Microsoft Office, Outlook, Bluebeam, and standard office equipment.
- 7Ability to multitask in a fast-paced environment.
- 8Experience with mobile device configuration and data wipe/reset processes.
- 9Strong organizational and time management skills.
Salary Insight
