Project Coordinator, Trade Show & Service Scheduling
Overview
You will own the coordination of national trade show setups for ICEE food and beverage equipment, working directly with vendors to ensure every detail lands correctly. You'll sync schedules across ICEE Service Centers, track equipment shipments, and confirm customer readiness, all within a 9-6 Monday-Friday rhythm. This role sits on the Projects Department team, backed by a global company expanding into Australia, China, and the Middle East. What You'll Do8
- 1Receive customer requirements for scheduled work and translate them into actionable project steps.
- 2Coordinate projects through the internal service management system to ensure accurate tracking.
- 3Sync with nationwide ICEE Service Centers to align technician availability with customer needs.
- 4Communicate scheduled dates to customers and contractors via phone and email.
- 5Track shipments of equipment and parts to prepare service centers for upcoming work.
- 6Make outbound calls to confirm customer readiness for scheduled service.
- 7Flag any delays in service to customers, management, and project team members.
- 8Maintain periodic status reports in Excel to keep management informed on progress.
Requirements9
- 1High School Diploma or equivalent.
- 22+ years in a customer-focused environment.
- 3Prior experience in project coordination (required).
- 4Proficiency with Microsoft Office (Word, Excel, PowerPoint), with emphasis on Excel.
- 5Ability to commute to La Vergne, TN.
- 6Strong organizational skills to manage a high volume of work.
- 7Complex problem-solving skills.
- 8Excellent oral and written communication skills.
- 9Ability to work independently and as part of a team.
