Overview
Own administrative and project support for three senior leaders in Biologics Development, coordinating operations for a 160-person global team. Manage calendars, travel, expenses, and department events while upholding confidentiality and professionalism. Build relationships across sites and time zones, ensuring seamless operations and communication. This role stands out for its exposure to senior leadership and ownership of high-stakes coordination.
What You'll Do10
- 1Manage calendars, schedule meetings, and coordinate domestic and international travel for Executive Directors and Senior Director
- 2Process expense reports and maintain accurate departmental records in Concur and SAP
- 3On-board and off-board contractors and employees, coordinating access and equipment
- 4Plan and manage the annual calendar, site schedules, and vacation schedules for the leadership team and department events
- 5Organize townhalls and social events, handling content, logistics, and attendee coordination
- 6Maintain and update the organizational SharePoint site, ensuring current and accurate information
- 7Draft and distribute department communications, assemble townhall slide decks in PowerPoint
- 8Take meeting minutes in OneNote and send surveys using Microsoft Forms
- 9Proactively anticipate scheduling conflicts and resolve issues with minimal supervision
- 10Coordinate with operational and administrative staff across the organization to align priorities
Requirements10
- 14-9 years of administrative or comparable experience
- 2Associates Degree required; BS highly desirable
- 3Prior Executive Associate or Project Coordinator experience
- 4High proficiency in Microsoft Office (Outlook, PowerPoint, Word, Excel, OneNote, Forms, Teams)
- 5Strong knowledge of SharePoint for page upkeep
- 6Experience with Concur for travel and expense management
- 7Experience with SAP, WorkDay, and eSetup for HR and procurement tasks
- 8Ability to handle confidential information with discretion and good judgment
- 9Proven problem-solving and analytical skills
- 10Excellent written and oral communication skills
