Administrative Assistant, Biotech Executive Support
Overview
You will provide high-quality administrative and operational support to the Chief Scientific Officer of Pioneering Medicines and the Research leadership team at Flagship Pioneering, a bioplatform innovation company. You will manage calendars, coordinate meetings and travel, plan events, and support day-to-day business operations in a fast-paced, collaborative environment. This role requires exceptional organization, sound judgment, and the ability to anticipate needs while managing multiple competing priorities. You will work directly with senior leadership and contribute to a culture of innovation and impact in human health and sustainability.
What You'll Do10
- 1Manage calendars for several leaders, scheduling regular and one-off meetings with Outlook and Teams
- 2Coordinate travel and expense reporting for leaders using Concur and other systems
- 3Support meeting preparation by drafting agendas, compiling reports, and creating PowerPoint presentations
- 4Drive department communications, including regular updates to colleagues and leadership
- 5Plan and execute team events, Scientific Advisory Board meetings, offsites, and celebrations
- 6Serve as point of contact for guests, managing their visits from start to finish
- 7Troubleshoot minor technical issues with Teams glitches and conference room setups
- 8Provide backup administrative support for the broader team during vacations and leaves
- 9Optimize office space and support potential relocations to minimize disruption
- 10Participate in special projects aligned with your interests and career goals
Requirements9
- 13+ years supporting leaders or teams in a complex environment
- 2Ability to work with minimal supervision and maintain high standards of confidentiality
- 3Demonstrated flexibility and professional maturity to anticipate needs and prioritize tasks
- 4Experience managing conflicting priorities and delivering critical assignments on time
- 5Proficiency in Microsoft Office including Word, Outlook, Excel, and PowerPoint
- 6Excellent written and verbal communication skills with attention to detail
- 7Experience interacting with senior levels of leadership
- 8Positive 'can do' attitude, team player, and responsive to requests
- 9Ability to work in a fast-paced organization with competing priorities
