Order Management Specialist, Customer Service & Logistics
Overview
You will own order fulfillment for a high-volume office furniture dealer, ensuring accuracy from quote to delivery. You coordinate with Sales, Design, and Project Management teams to resolve issues and keep customers informed. You track vendor acknowledgments, ship dates, and billing in Windows systems, and troubleshoot exceptions daily. This role demands precision and proactive follow-up, with direct impact on customer satisfaction and repeat business. You will also maintain product contracts and support team-wide processes, making you integral to operational success.
What You'll Do10
- 1Enter and confirm orders and quotes with Sales, ensuring data accuracy in Windows systems.
- 2Track delivery tickets and vendor acknowledgments to confirm shipment and receipt dates.
- 3Follow up with vendors to improve ship dates, resolve order inaccuracies, and mitigate issues.
- 4Communicate order status to customers throughout the process, coordinating with Sales.
- 5Obtain pricing, dealer discounts, and freight charges from vendors for quoting and proposals.
- 6Ensure billing is coded, released, and invoiced correctly, coordinating daily with Accounting.
- 7Process zero sell and credit memos with proper authorization per company policy.
- 8Troubleshoot work order issues and escalate to the CSR Manager when needed.
- 9Participate in weekly status meetings to align on order fulfillment and customer satisfaction.
- 10Maintain customer product contracts on the T drive and review ATB reports with Sales to resolve payment issues.
Requirements10
- 1Associate's Degree with 2+ years of high-level customer service and data entry experience.
- 2Experience with Windows operating system and computer data entry.
- 3Proficiency in order entry and tracking systems.
- 4Strong problem-solving and communication skills for team collaboration.
- 5Ability to work onsite in Raleigh, North Carolina.
- 6Preferred: accounting or purchasing background.
- 7Preferred: interior design background.
- 8Preferred: experience with project management software.
- 9Preferred: knowledge of ERP systems.
- 10Preferred: experience in office furniture industry.
