Overview

Own the on-site registration experience for conferences and trade shows, managing check-in stations from setup to teardown. You will deploy Cvent, Whova, and similar platforms on provided hardware, including RFID scanners and badge printers. Partner with event organizers and venue staff to keep registration running smoothly. This 1099 contractor role pays a daily rate plus travel reimbursement and meal stipends.

What You'll Do8

  • 1Lead on-site registration management, ensuring check-in stations run without interruption from opening to close.
  • 2Install and test Cvent, Whova, or Accelevents software on laptops and tablets before attendee arrival.
  • 3Set up badge printers, RFID scanners, and networking devices, verifying internet connectivity for all stations.
  • 4Monitor badge printing and attendee check-in, resolving issues in real time to minimize disruption.
  • 5Diagnose and fix hardware, software, and network problems on-site, escalating complex cases to event leadership.
  • 6Deliver white-glove customer service, answering attendee questions and resolving registration concerns professionally.
  • 7Coordinate with event organizers, venue IT teams, and other vendors to align on registration logistics.
  • 8Communicate status updates and technical issues to stakeholders throughout the event day.

Requirements9

  • 12+ years managing on-site registration at conferences or trade shows using platforms like Cvent or Whova.
  • 2Hands-on experience with RFID scanners, badge printers, and tablet/laptop setup for event check-in.
  • 3Ability to troubleshoot Wi-Fi networks and peripheral devices under time pressure.
  • 4Excellent verbal and written communication skills with a customer-first approach.
  • 5Proven ability to stay professional and calm in high-pressure event environments.
  • 6Strong attention to detail and organizational skills for managing multiple stations.
  • 7Reliable transportation to event venues in the San Francisco area.
  • 8Flexibility to work early mornings, evenings, weekends, and holidays as event schedules require.
