Overview
The Office Manager will lead operational administration for the Office of the Under Secretary of War for Research and Engineering (OUSW(R&E)) at SAIC. This full-time onsite role requires a Secret clearance and involves managing facilities coordination and administrative functions. The ideal candidate is proactive detail-oriented and skilled in office workflow management and cross-functional communication.
What You'll Do15
- 1Serve as primary Office Manager overseeing day-to-day administrative operations facilities management and front-office functions
- 2Act as designated Fire Warden conducting safety drills and ensuring compliance with building safety protocols
- 3Coordinate secure handling of classified waste including burn bag runs to destruction facilities
- 4Manage office supplies equipment and workspace needs while coordinating procurement and maintenance requests
- 5Oversee seating assignments office moves and facilities coordination within the Pentagon workspace
- 6Serve as primary liaison with building services IT support and security offices to maintain a functional secure environment
- 7Maintain COOP rosters recall lists and emergency contacts
- 8Support onboarding and offboarding activities including seat assignments IT access coordination and security clearance verification
- 9Prepare data inputs for manpower reports staffing trackers and personnel readiness reviews
- 10Coordinate the CATMS package development and submission process tracking all approvals and timelines
- 11Track taskers and action items using DoW task management systems such as CATMS
- 12Draft edit and route official administrative correspondence memoranda and organizational communications following DoW policy
- 13Serve as communication hub ensuring clear information flow between divisions and external stakeholders
- 14Coordinate agendas logistics and notes for directorate-wide meetings senior leader offsites and working groups
- 15Track follow-up actions from initiatives and ensure closure on assigned tasks
Requirements7
- 1Active Secret clearance with ability to obtain
- 2US citizenship
- 3Bachelor's degree preferred in Business Administration Management or related field
- 4Minimum ten years supporting senior DoW or federal organizations in administrative or office management roles
- 5Familiarity with DoW administrative systems such as CATMS Defense Information System for Security DISS and MyAccess
- 6Prior experience in OUSW(R&E) DoW resource management or acquisition environments
- 7Proven track record of maintaining professionalism and confidentiality in fast-paced high-visibility offices
