Overview

You will own executive support for senior leaders (SES-level) at the Pentagon, synchronizing daily operations, travel, and high-level briefings for OUSW Personal and Readiness. You will work within a tight-knit team of Military Assistants and Directors, managing complex calendars and deconflicting priorities in a secure SCIF environment. This role demands precision with MS Office, DTS, CATMS, and ETMS2 to drive front-office excellence. You will stand out by handling Top Secret documents with discretion and enabling seamless command decisions.

What You'll Do9

  • 1Synchronize near-term, daily, and weekly support for senior leaders, managing operations updates and inter-department action coordination.
  • 2Draft and edit executive-level correspondence, talking points, and memos with Word and PowerPoint, ensuring error-free output.
  • 3Manage and deconflict complex calendars for 1-star to 3-star executives, prioritizing meetings and deadlines with Outlook.
  • 4Coordinate SES travel via DTS and ETMS2, preparing documentation and ensuring compliance.
  • 5Proof and prepare Read-Ahead (RAH) documents and briefing materials for high-level meetings, using Excel for data tracking.
  • 6Liaise with VIP support and IT for VTC, SIPR, Teams, and Zoom setups in conference rooms.
  • 7Track and prioritize incoming taskers in CATMS, monitoring deadlines and facilitating interdepartmental completion.
  • 8Handle secure distribution of Top Secret documents within SCIF environments, maintaining logs and clearance verifications.
  • 9Escort high-level visitors, enforcing security protocols and access control.

Requirements7

  • 1Active Top Secret Clearance required.
  • 2Bachelor's Degree or 4+ years relevant experience in lieu of degree.
  • 33+ years providing administrative support to SES Military Office, Government Offices, or Federal Agencies.
  • 4Experience with DTS, CATMS, TMT, or ETMS2.
  • 5Proficiency in MS Office suite: Word, Excel, PowerPoint, Outlook.
  • 6Skilled in managing phone systems and basic office equipment.
  • 7Ability to assemble and maintain high-volume documents and physical files with accuracy.
