Office Coordinators handle routine office work and administrative responsibilities of the community while assisting with planning and coordinating community events. This role involves greeting guests, managing communications, processing fees, reconciling reports, maintaining records, handling scheduling, coding invoices, and supporting marketing efforts. It differs by focusing on residential community coordination rather than commercial settings.

What You'll Do21

  • 1Greet and establish rapport with guests, current and prospective residents
  • 2Fields community comments, suggestions and complaints to the Community Manager
  • 3Prepares and distributes resident communications such as rule reminders and rent increase letters
  • 4Collects and posts fees in Yardi and records transactions
  • 5Completes and reconciles monthly community reports including accounting and activity reports
  • 6Maintains records and files according to the Operations Manual
  • 7Performs administrative tasks like answering phones and filing
  • 8Codes invoices and statements for manager approval
  • 9Schedules clubhouse rentals and processes rental fees
  • 10Ensures office supplies are stocked and prepares supply orders
  • 11Makes collection calls for site rental payments
  • 12Processes bad debt files and handles resident move-ins and move-outs
  • 13Assists with planning resident relations events and preparing marketing materials
  • 14References sales prospects and enters prospect information into Yardi
  • 15Assists prospective residents with home viewings and rental applications
  • 16Coordinates with underwriting team for prospective applicant approvals
  • 17Tracks approvals and denials for prospective residents
  • 18Manages petty cash fund and prepares bank deposits
  • 19Coordinates with Main Office underwriting team for approvals
  • 20Prepares bank deposit slips and makes daily runs
  • 21Other duties as assigned

Requirements9

  • 1High School Diploma or GED
  • 22 years administrative experience
  • 36 months NetSuite experience
  • 46 months property management office experience
  • 5Excellent written and verbal communication skills
  • 6Strong customer service skills
  • 7Intermediate computer proficiency
  • 8Professional appearance
  • 9Valid driver's license
