Overview

You will own daily operations of the property management office, supporting a team that oversees multiple residential buildings in New York. You serve as the first point of contact for residents, vendors, and staff, handling inquiries, work orders, and records with precision. You will master Yardi, SharePoint, and Microsoft Outlook to keep everything running smoothly. This role gives you a direct line to the General Manager and hands-on experience with Avid, Site-Compli, and Monday.com.

What You'll Do9

  • 1Answer phones and respond to resident, vendor, and staff inquiries, returning missed calls within four business hours.
  • 2Manage emails, filing, scanning, and data entry, ensuring accurate records in Yardi and SharePoint.
  • 3Process work orders and track maintenance requests, updating residents and management on status.
  • 4Maintain resident and property records, including move-ins, move-outs, and lease documentation.
  • 5Schedule meetings, inspections, and property events, coordinating calendars in Microsoft Outlook.
  • 6Support accounting with invoice preparation, payment collection, and petty cash reconciliation in Avid.
  • 7Prepare reports, correspondence, and notices for management and residents.
  • 8Monitor office supplies and equipment, troubleshooting issues as they arise.
  • 9Assist with special projects and administrative tasks for the management team.

Requirements8

  • 11-3 years of administrative experience, preferably in property management or real estate.
  • 2High school diploma or equivalent; Associate's degree preferred.
  • 3Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • 4Experience with property management software: Yardi, RealPage, or similar.
  • 5Excellent verbal and written communication skills.
  • 6Strong organizational skills with attention to detail.
  • 7Ability to multitask, prioritize, and work independently.
  • 8Professional demeanor and ability to maintain confidentiality.
