Office Assistant I - Head Start/Early Head Start Programs

Full-time Office Assistant I role supporting the Head Start/Early Head Start Program office in Los Angeles. Provides administrative and clerical support to ensure efficient operation while maintaining organized and confidential records. What You'll Do16
- 1Answer phones greet visitors relay messages and respond to inquiries professionally
- 2Manage office communications including emails memos notices and announcements
- 3Prepare format and distribute correspondence reports meeting agendas minutes forms requisitions schedules vouchers receipts statistical data and other materials
- 4Maintain accurate records logs files and confidential documents according to federal state and program requirements
- 5Perform data entry and update program databases reports and tracking systems
- 6Schedule meetings appointments events and travel arrangements
- 7Assist with preparing materials for parent meetings staff trainings program activities workshops and community outreach events
- 8Support recruitment and enrollment activities by preparing informational packets
- 9Gather information for reports surveys monitoring reviews and audits
- 10Order receive organize and maintain office and program supplies
- 11Communicate with program staff families community partners and external agencies
- 12Serve as liaison between program staff and administrative team
- 13Coordinate family referrals services and resources
- 14Perform general office duties such as copying scanning faxing filing mailing and document preparation
- 15Maintain a clean and organized office environment
- 16Assist with other related duties as assigned by the Program Director Administrative Coordinator or designee
Requirements11
- 1Minimum eighteen (18) years of age
- 2High school diploma or GED required with associate degree preferred
- 3Two (2) years of office or administrative experience preferably in educational or nonprofit settings
- 4Strong organizational time-management written and verbal communication skills
- 5Proficiency in Microsoft Office Word Excel and PowerPoint and familiarity with database systems
- 6Ability to manage multiple priorities work independently and collaborate effectively
- 7Attention to detail and ability to handle sensitive information appropriately
- 8Bilingual English Spanish preferred
- 9Tuberculosis clearance verification and required criminal background fingerprint clearances
- 10Availability for set Monday through Friday schedule
