What You'll Do10

  • 1Open the front office each day, preparing check-in materials and ensuring all systems like i2i and Tableau are ready.
  • 2Greet patients and visitors with courtesy, managing introductions and directing them to the appropriate care team.
  • 3Schedule patient appointments accurately using the electronic medical system (EMS), balancing provider availability and patient needs.
  • 4Answer incoming calls, route to the right staff, and provide clear information to patients about their care.
  • 5Register patients by entering demographics and insurance data into the EMR, verifying all paperwork is complete and accurate.
  • 6Verify insurance coverage and explain payment options including sliding scale fees, Medicare, and Medicaid to patients.
  • 7Collect co-pays and deductibles before appointments, and post payments into the EMR at day's end.
  • 8Run Vital Interactions reports to follow up on appointment confirmations and no-shows, reducing missed care.
  • 9Scan medical documents into the EMR with the HIM department, ensuring accurate patient records.
  • 10Collaborate with clinical teams to notify patients of due services and coordinate with site leadership on patient concerns.

Requirements8

  • 11+ year experience in an administrative role in a healthcare or clinic setting.
  • 2High School Diploma or GED equivalent.
  • 3Proficiency with Microsoft Office (Word, Excel, Outlook) and ability to quickly learn i2i, Tableau, and Vital Interactions.
  • 4Working knowledge of HIPAA guidelines and maintaining strict confidentiality of patient information.
  • 5Good communication skills, both face-to-face and over the phone, with a professional and courteous demeanor.
  • 6Ability to handle multiple tasks simultaneously while checking in patients and answering calls.
  • 7Accuracy in data entry and attention to detail, especially with insurance verification and payment posting.
  • 8Comfortable working in a fast-paced clinic environment and part of a cross-functional team.
