Overview
Own logistics and travel operations at KoiReader, a leader in AI-powered logistics and supply chain automation. You will manage vendor sourcing, PO generation, shipping coordination, RMA, corporate travel, and expense compliance. Working alongside lab technicians and the executive team, you will keep physical goods moving efficiently. This role drives measurable impact through cost savings and operational reliability, with exposure to cutting-edge Generative AI tools.
What You'll Do8
- 1Source and onboard vendors for lab equipment, hardware, and operational goods; benchmark pricing, lead times, and quality to drive cost savings.
- 2Generate and track purchase orders (POs) through fulfillment, matching them to invoices and packing slips with Finance.
- 3Coordinate inbound and outbound shipments with UPS, FedEx, and freight forwarders; track status and resolve shipping discrepancies.
- 4Manage the full RMA and reverse logistics process from initiation to credit or replacement, reconciling with Finance.
- 5Build and run the corporate travel program, booking flights, hotels, and ground transport for employees and contractors while controlling costs.
- 6Audit expense reports for compliance with Finance, flagging out-of-policy spend and ensuring documentation quality.
- 7Lead monthly inventory and organization audits at the Dallas lab, verifying counts and storage standards with technicians.
- 8Support the executive team with scheduling and CEO expense report management, handling confidential information with discretion.
Requirements12
- 12+ years in logistics, procurement, travel coordination, or administrative support.
- 2Proven experience placing and tracking purchase orders and working with carriers like UPS or FedEx.
- 3Experience sourcing vendors and negotiating pricing, terms, and SLAs.
- 4Hands-on management of RMA or product-return processes with vendors and carriers.
- 5Ability to book corporate travel or strong aptitude to build a travel program from scratch.
- 6Comfort with expense reporting tools and basic financial reconciliation.
- 7Exceptional organizational skills, handling multiple deadlines across workstreams.
- 8High discretion with sensitive financial and executive information.
- 9Strong written and verbal communication; direct coordination with vendors, carriers, and executives.
- 10Proficiency in Excel or Google Sheets and standard office software.
- 11Working proficiency with AI productivity tools like Claude or Gemini.
- 12Must be authorized to work in the U.S. and available on-site in Dallas, TX.
