Overview

You will own the execution of employee development programs at a global organization, from building timelines to coordinating logistics for leadership, onboarding, and technical learning. Reporting to the Director of Learning, you will work with leaders, HR partners, and external vendors across multiple time zones. This role combines operational rigor with a focus on employee experience, and you will also drive process improvements and adopt AI tools to streamline workflows. Based in downtown Chicago, you will be in the office 4 days a week and play a key part in shaping how employees grow.

What You'll Do10

  • 1Build program timelines and coordinate each step from planning to completion, ensuring milestones are met.
  • 2Organize calendars, communications, materials, facilitators, virtual sessions, and in-person logistics for learning initiatives.
  • 3Keep participants informed and deliver a seamless experience from registration to follow-up.
  • 4Coordinate with leaders, HR partners, coaches, speakers, and external learning providers across regions and time zones.
  • 5Maintain accurate learning records and produce participation and completion reports using the LMS.
  • 6Support contracts, invoices, budgets, and vendor relationships, ensuring compliance and timely payments.
  • 7Monitor feedback from programs and turn findings into actionable improvements for future sessions.
  • 8Create resources, templates, and operating guides that standardize program delivery across teams.
  • 9Identify repetitive tasks and implement automation, integrating AI tools for communication, reporting, and research.
  • 10Provide real-time support during virtual, in-person, and hybrid learning events.

Requirements10

  • 13-5+ years of relevant experience in learning operations, employee development, HR, project coordination, or program management.
  • 2Proven track record of keeping complex projects organized and on schedule, with attention to detail.
  • 3Strong communication skills to engage employees, senior leaders, internal partners, and vendors clearly.
  • 4Confidence coordinating work across teams, regions, and time zones, with cultural awareness.
  • 5Process-improvement mindset, focused on efficiency and practical solutions.
  • 6Ability to analyze information, recognize trends, and turn data or feedback into next steps.
  • 7Composure and problem-solving when plans change, maintaining a solution-oriented approach.
  • 8Experience with a Learning Management System (LMS) is preferred.
  • 9Exposure to AI-enabled productivity tools is helpful.
  • 10Bachelor's degree or comparable practical experience.
