Knowledge Management Specialist - CRM Data & Governance
Overview
Own the integrity of all project, client, and employee data across our Deltek Vantagepoint CRM platform. As the Knowledge Manager Specialist at RMF Engineering, you will standardize naming, audit records, and resolve discrepancies to support 12 offices and 43 years of continuous growth. You will work directly with department managers and staff to maintain clean data, build dashboards, and support proposal and business development workflows. This role is central to our migration to Vantagepoint and offers the chance to shape data governance from the ground up.
What You'll Do10
- 1Enter and maintain project, client, contact, and employee data in Deltek Vantagepoint, ensuring every record meets firm standards.
- 2Audit databases weekly for duplicates, outdated records, and inconsistencies, then clean them to maintain a single source of truth.
- 3Establish naming conventions and data entry procedures, documenting workflows for all staff to follow.
- 4Process project setups and client updates within 24 hours of request, supporting real-time reporting for leadership.
- 5Resolve data discrepancies by collaborating with department managers, researching source documents, and updating records.
- 6Build reports and dashboards in Vantagepoint for monthly, quarterly, and annual business reviews.
- 7Manage the searchable photo and graphic asset library, tagging assets for reuse in proposals and presentations.
- 8Create website case studies with consistent layout and branding, turning project wins into marketing assets.
- 9Support data migration and process improvement projects, ensuring clean handoffs and minimal downtime.
- 10Train employees on database processes, helping them locate, update, and maintain records efficiently.
Requirements8
- 13+ years experience with CRM systems, Deltek Vantagepoint preferred.
- 2Working knowledge of content management systems (CMS) and data quality best practices.
- 31+ years in an engineering, architecture, or professional services firm, with RFP and business development exposure a plus.
- 4Proven ability to create reports and dashboards from CRM data.
- 5Strong written and verbal communication skills to document procedures and train users.
- 6Detail-oriented with organizational skills to manage multiple data cleanup projects simultaneously.
- 7Familiarity with project-based business operations and data governance frameworks.
- 8Experience with photo and graphic asset libraries or digital asset management tools.
Salary Insight
