Billing Specialist, Accounting & Project Billing
Overview
You will own project-based billing for a 1,000+ employee-owned engineering firm, handling a high volume of invoices tied to contract terms. You join the Accounting team in Reading, MA, where you will collaborate with project managers and the Accounts Payable and G/L teams. This role starts with core billing duties and expands into collections, reconciliations, and intercompany billing. Deltek VantagePoint experience is a plus, but your accuracy and drive to learn matter more.
What You'll Do8
- 1Process a high volume of project-based invoices in Deltek VantagePoint, ensuring accuracy with contract terms and company policy.
- 2Support collections by monitoring accounts receivable and following up on outstanding balances with clients.
- 3Reconcile accounts and investigate discrepancies to clear billing errors.
- 4Coordinate with the Accounts Payable team on PWP charges and intercompany billings.
- 5Collaborate with project managers and team members to resolve billing and accounting questions.
- 6Prepare account reconciliations and month-end support for the Accounting team.
- 7Document billing procedures and improvements in Excel and Word.
- 8Take on additional accounting and administrative duties as the team grows.
Requirements9
- 13-5 years of professional experience in accounting, finance, or a related role.
- 2Bachelor's Degree in Accounting or a related field, strongly preferred.
- 3Experience with Deltek VantagePoint or similar ERP billing modules.
- 4Proficiency in Microsoft Excel (pivot tables, VLOOKUP) and Word.
- 5Solid understanding of basic accounting principles (debits, credits, accruals).
- 6Experience in construction or engineering industry is a plus.
- 7Strong problem-solving and research skills to investigate billing discrepancies.
- 8Detail-oriented with excellent organizational and time management skills.
- 9Ability to multitask and adapt to changing priorities in a team environment.
